Dear Residents of Sutramas,
I write following the 8th JMC meeting held on 11th October 2008 to inform you of the following.
(1) Operations & Maintenance
(a) Servicing, Rectification & Repairs For The Month
During the month, regular maintenance of the equipment and machinery were undertaken. These were found to be in good working condition.
(b) Works, Repairs and Installations To Be Done In The Course Of The Next Month
In the next month the following are expected to be undertaken:-
Water Stains Due To Rain Splashing – The developer shall be progressing work to increase the size of the roof enclosure to eliminate splashing during rainfall. This work has been on the progress path for some time as the developer is experiencing delay in the supply of equipment and paint. The developer expects to complete it within a month.
Bicycle Rack – It is expected that a bike rack will be installed at LG3 this month adding to the racks already installed at LG1 and LG2. We invite all residents to park and secure your families’ bicycles at these racks. Please refrain from parking the bicycles along the corridors to residential units as they may be a safety hazard apart from being unsightly.
Renovation Work at Retail Lots – Renovation works on a new incoming tenant would commence at the retail lot alongside the condo.
(c) Utility Consumption
(i) Electricity
The following is the electricity consumption for common areas for the year to date.

Energy consumption is trending towards a common amount for use. The initiatives now in place to control and reduce consumption will continue to be progressed.
New initiatives are as follows :-
1. The main lobby is fully illuminated an hour later at 6.00pm while the illumination at the rear main lobby is switched off an hour earlier at 8.00 am.
2. One air-conditioner at the gym has been disabled leaving two which is more conducive for exercise.
(ii) Water
The following is the water consumption for common areas for the year to date.

Water consumption is also trending towards a common amount for use. The initiatives now in place to control and reduce consumption will continue to be progressed.
(2) Finance & Accounts
Profit & Loss
Our P&L for the month of August 2008 is as follows :-

We currently have an accumulated operating surplus of {see Letter distributed to Residents} For the past 2 months we have been operating at a deficit as expenses arise. The Committee expects that monthly cost will rise significantly after October 2008 as maintenance of the condo equipment and machinery falls on our shoulders after the end of the warranty period.
While the Committee will continue to manage and monitor cost and at the same time endeavour to raise ancillary revenue, it is likely that a longer term solution would need to be put in place.
The Committee intends to see out the year in order that empirical data can be accumulated upon which a solution cab be based and thereafter proposed to residents for adoption and approval.
The initial focus that the solution would be premised on is to have a comfortable monthly operating surplus that would safeguard the sinking fund. This is to ensure that we have the financial strength to guarantee the efficient, timely and uninterrupted operations of all facilities of the condo to a level that befits the status of Sutramas.
To assist us in achieving this in the immediate term, we would like to remind residents that car parks, locker rentals, hall and table and chair rentals are available. Should you require the services of the car wash operator, we would suggest that you use the services of the operators now servicing some of the residents as the operators contribute {see Letter distributed to Residents f their fees they charge to the operating income of the condo. All of these would help us to achieve the financial comfort that we seek.
Collection Rate
The collection rate for the past 3 months is as follows :-
The data shows that the collection rate is trending downwards. We seek residents’ cooperation to effect timely payment of dues in order that the monthly running of the condo do not face cashflow issues. We would like to remind that for your convenience, the facility of direct debiting of credit cards is available. Details may be obtained from the Management Office.
(3) Security and House Rules
(a) Security
There were no significant security breaches/issues in the past month.
(b) House Rules
(i) Car Park Exits
We seek the cooperation of residents using LG1 and LG2 car parks to use the proper exit. There have been numerous accidents which for now is, fortunately not serious. Management has recently issued a safety notice on this matter and we urge your cooperation to comply.
(ii) Firecrackers
Used firecrackers were recently found at the putting green leaving some damage to the carpet. Apart from damage to condo facilities, of more concern is the fire risk which is a more significant factor. We urge residents to keep a close watch on activities which may put in peril the safe being of the condo and its dwellers.
(4) Facilities
For the convenience of residents, a beauty salon will soon commence renovation followed by operations at the retail lots. Apart from offering the facility to residents, this would also provide rental income for the condo’s operating fund.
(5) Occupancy Rate & Renovation Work
There are 178 units in Sutramas. The current occupancy rate is as follows:-

(6) Condo Management
We are pleased to inform that the services of the Condo Manager, See Hoy Chan Facilities Management Sdn Bhd, has been extended for a further duration of 6 months expiring April 2009. In support of the efforts to manage and regulate cost, the Condo Manager has agreed to provide a 10% discount to their fees.
(7) Residents’ Get Together
A residents’ get together is long overdue. A formal event between See Hoy Chan and buyers of Sutramas condo is also long overdue. In cooperation with the management of See Hoy Chan, we plan to hold a residents’ get together somewhere late in November 2008. The developer has generously agreed to sponsor the event with a generous donation. A sub-committee is progressing the planning of the event and would shortly issue the requisite notice.

(9) Next Meeting
The next Committee meeting is scheduled for Saturday, 8th November 2008 at 10.00 am at the Reading Committee. The meeting is open to all residents. Please join us if your schedule allows for it.
